Some menus or buttons are "greyed out". How can I access those items?

Certain items require you to lock everyone else out or log in with exclusive rights when you sign in (see below).

Ok, what do you mean by sign in with "Exclusive Rights"?

When you first sign in, check the box that says "Lock other users out (exclusive rights)". Note that you must have administrative rights to be able to be able to utilize that. If you don't have administrative rights, and you think you should, then complain to the person that has those rights and see if they can give'em to you.

How do I reinstate a completed job?

  • Click on the Date Range Filter (the first filter on your screen - the white boxes near the top)
  • Change the filter to "Completed this year" or "Completed today" (near the bottom of the choices)
  • Select the job you wish to reinstate
  • Double-click on the Completed field for that job or press the Completed Button at the top of the screen
  • This will open the pop-up calendar.
  • Press the Erase Button to reinstate the job to an active job
  • It is important that you DO NOT delete the future job that was created. It will NOT be created again when you re-complete that job
  • If you do not see the Completed Field then you have it hidden under your preferences.

How do I reinstate / clear / erase an extension date or any other dates?

Double-Click on the appropriate date field that you wish to erase and then press the ERASE Button when the pop-up calendar opens.

Some of my jobs DISAPPEARED! Where did they go and why can't I see them?

Usually this is a result of the filters you have chosen. So check the filters and make sure that the date range and all other filters are appropriate for the jobs you wish to see. A good way to reset the filters is to click the Defaults Filters button on the toolbar. If that still doesn't show what you were expecting then change the date range filter to "Show All Due Dates". If after doing all the above you still don't see any jobs then make sure you are actually using the correct database.

How do I enter a job that does not have a defined due date such as an IRS Notice or an Annual Report based on the charter date?

  • Click the New Jobs button
  • Look for the "Undefined" Job Type near the bottom of the screen
  • Select the appropriate Undefined Type {One Time, Yearly, Quarterly or Monthly)
  • Now just type in whatever the Project or Task is and pick whatever due date is appropriate

I am not seeing the same columns that Bob is showing. Why not?

You probably have some columns hidden that Bob does not. Go to the menu | Preferences | Hidden Columns | and see if some columns are hidden that you didn't want to be hidden.

I set up a new job with the wrong Task or Period End or Due Date to start with. How do I edit it and change it to the correct period end?

With the current versions, changing the rule assigned to the Task and saving the Task will update the OPEN jobs. Note you must log in with exclusive rights to have access to this (see discussions above about how to open with exclusive rights). Note - you cannot edit the Task or Period End or Due Date on a job once you created it. If you set up a job with the wrong task assigned or period end to start with, you need to bite the proverbial bullet, delete it and set it up correctly.

None of the jobs for the next year (or next period) are being created. Why the heck not?

The next year (or next period) job is not created until you complete the current job.

Ok, I understand that I have to complete the current job before the next will be rolled forward, but I am still not seeing the NEXT year job - why not?

You may have the date filter set to "Current Year" and therefore all the jobs due "Next Year" are hidden. Change the date filter to "Show Next Year" and see if they show up. If not, you may have some other filter hiding them. See above answers about disappearing jobs.

What if I have a delinquent (late) job and need to create the next period job but the current job isn't completed yet - how do I solve that problem?

Click on the delinquent job row and then press the "Delinquent Job" button. This will roll the Delinquent job forward and still retain the delinquent job.

Why do estimated tax payments (1040-ES and 1120-ES), show up as due before the year-end?

In the case of a 1040-ES, the first estimated tax payment is actually due 8 months before the year-end to which it applies and the second and third quarters are also due prior to year-end. The 4th estimate is due 1 month after the year-end. If the due date appears to be a year behind, then you should change the year-end to be the appropriate period. This will then reflect the due dates you desire.
